1. No monthly reports
If you see financials only at year-end, or you assemble them yourself for the accountant, you are running without visibility. A growing business needs a monthly income statement, balance sheet and cash position, and someone who can explain them.
2. No system, only spreadsheets and email
Paper receipts, PDFs, Excel files and invoices in an inbox cost time and invite errors. Cloud tools such as QuickBooks Online, Dext and Plooto automate most of the flow and leave a trail.
3. Payroll and HST are always last-minute
Late source deductions, missed HST filings and a steady stream of CRA notices are signs the back office is reactive. A proper process runs payroll on schedule, remits accurately and files sales tax well before the deadline.
4. Basic questions go unanswered
If your bookkeeper cannot tell you why cash is tight, whether margins are moving or why expenses are up, they are entering data rather than keeping books. You need insight, not only input.
5. Your accountant redoes the books at year-end
When year-end involves reworking large parts of the ledger, you pay twice: once for the bookkeeping and again for the cleanup. Better systems and better bookkeeping remove the second bill and give you usable numbers all year.
